Workspace Migration: Move to Microsoft 365 the Right Way

Anneal Tech's Workspace Migration service moves your email, calendar, contacts, and content from Google Workspace or on premises Exchange into a well designed Microsoft 365 tenant in weeks rather than months. We plan the migration, execute the cutover, and support your users through go live with documented evidence at every step. The engagement is designed for organizations that want a real migration, not a chaotic lift and shift.

Why workspace migrations go wrong

Most workspace migrations are treated as technical lifts and shifts. Organizations move the mess from one platform to another, only to find that users are confused, permissions are broken, and the same old performance issues persist in the new cloud environment. Without proper planning and user enablement, the migration becomes a disruption instead of a foundation for the next chapter of how the business works.

The migration done well is different. Discovery captures the source state in real detail. Design produces a Microsoft 365 tenant that is secured and governed from day one rather than retrofitted later. Pilot and wave structure manage risk. User enablement runs in parallel rather than as an afterthought. The result is a cutover that most users experience as transparent and a destination tenant that earns its license cost.

What is included

  • Inventory and audit - catalog of mailboxes, shared mailboxes, distribution lists, files, sites, and users in the source environment.
  • Target tenant configuration - Microsoft 365 set up with best practice security including MFA, conditional access, and baseline policies.
  • Data transfer - high speed, validated migration of all mailbox content, calendar, contacts, and files.
  • Permissions mapping - shared resource access mapped and validated across platforms.
  • DNS and domain cutover - coordinated MX, autodiscover, and authentication record changes.
  • User enablement - training, communication, and quick reference materials timed to each wave.
  • Post migration support - service desk coverage during the stabilization window.
  • Decommissioning - documented retirement of source environment after verification.

The migration methodology

Planning maps source content, identifies dependencies, and documents the cutover sequence. The target tenant is built and hardened to current best practice before any user data moves. Pilot moves a small set of users so issues surface before scale. Wave migration moves the rest of the organization in coordinated batches with verification at each step. Cutover coordinates DNS, autodiscover, and identity changes so the experience is transparent for most users. Post migration support handles the long tail of user questions, access issues, and edge case content for the first weeks of go live.

What you receive

  • Migration plan - sequenced waves, dependencies, and rollback strategy.
  • Microsoft 365 tenant configured to current best practice and documented.
  • Pilot wave with documented learnings before scale.
  • Production migration executed with verification at each step.
  • User training sessions matched to role and wave.
  • Post migration support covering the stabilization window.
  • Audit trail documenting every move action.

Who workspace migration is for

Organizations moving from Google Workspace to Microsoft 365 (or vice versa). Businesses retiring on premises Exchange. Companies modernizing email and collaboration after acquisitions or growth. Organizations consolidating onto a single productivity platform across multiple business units or geographies. Compliance focused organizations needing audit evidence of the migration.

Frequently asked questions

How long does a Workspace Migration take?

Most migrations close in 4 to 8 weeks depending on mailbox volume, file share complexity, and identity setup. We scope the timeline during discovery and commit to it in a fixed-fee proposal. Tight timelines for smaller orgs (under 50 seats) can compress to 3 weeks; large complex migrations may extend to 12 weeks.

Can you migrate from both Google Workspace and Exchange on the same project?

Yes. Many orgs have hybrid platforms with both Google Workspace and Exchange legacy systems. We design a single target M365 tenant and execute a phased migration that consolidates both sources, including identity consolidation into a single Entra ID directory.

What happens to file content during the migration?

For Google Workspace organizations, we migrate Google Drive content to OneDrive and SharePoint based on the target architecture. For Exchange organizations with on-prem file servers, we migrate file share content to SharePoint and OneDrive. The target location depends on how the content will be used after migration (personal docs go to OneDrive, team content goes to SharePoint or Teams channels).

Do you provide user training as part of the project?

Yes. We include hypercare training and support for the first two weeks after cutover. For larger organizations, we can scope additional training sessions leading up to cutover. A documented playbook is handed off to your IT team for ongoing support after hypercare ends.

What if we are not sure whether to move to Microsoft 365 or Google Workspace?

Microsoft 365 is our recommended destination and the platform most of our migrations land on. Google Workspace migrations can also be scoped if that is your platform preference. Reach out and we can walk through what makes sense for your business.

Do you handle the decommissioning of legacy Exchange servers?

Yes, for Exchange-source migrations. After mailbox cutover is complete and validated, we coordinate the retirement of Exchange servers, decommission mailboxes on the legacy system, and retire domain controllers if you no longer need on-prem Active Directory. All of this is sequenced so your IT team is not managing two email systems in parallel.

What is included in the discovery phase and how much does it cost?

Discovery is a fixed-fee engagement that includes mailbox and file share inventory, identity assessment, target architecture recommendations, and a proposal for the full migration project. We quote discovery separately so you can make an informed decision before committing to the full migration.

Can you do the migration on a weekend or off-hours?

Yes. Cutover timing is flexible and scoped during the design phase. Most orgs prefer a weekend cutover to minimize business hours disruption. We staff accordingly for weekend or holiday cutover windows.

Engagement model and program integration

Workspace Migration is a fixed scope engagement priced per user with timing that depends on data volume and complexity. For a typical mid market organization the engagement runs four to six weeks: planning and discovery, source tenant preparation, pre stage migration of historical mail and file data in the background, the cutover weekend or off hours window where delta data and DNS routing are switched over, and a Hyper Care support period for the first week after cutover. The same domain on the source tenant routes to the destination after cutover, so external email addresses and shared links keep working.

Anneal Tech has run migrations from on premise Exchange, Microsoft 365, Google Workspace, GoDaddy, IMAP only providers, Dropbox, Box, and legacy file servers. The destination is most commonly Microsoft 365 or Google Workspace, including cloud to cloud migrations between the two. The migration tool performs a bit level copy of mail, calendar, contacts, OneDrive or Drive content, and shared resources so no data is deleted from the source until the destination is verified. Permissions on shared folders and files are mapped to the equivalent group and site structures on the destination.

Workspace Migration rarely runs alone. Identity Migration typically runs in parallel so the accounts and groups are already in place when mail and files arrive. M365 Tenant Cleanup often runs after the migration to remove the legacy license sprawl and security gaps that come along with any platform change. For organizations that want the destination platform to be secured properly from day one, Security Core managed cybersecurity is the natural follow on so the gains from migration are not undone by the configuration drift that usually follows a major platform change.

Why Anneal Tech

Anneal Tech has executed Microsoft 365 migrations across multiple industries and migration paths. The service pairs cleanly with our managed IT, Identity Migration, M365 Tenant Cleanup, and Productivity Platform Adoption services so the destination tenant is operated and secured by the same team that delivered the move.
